Crowdsource Activity Settings

Crowdsource activity settings provide Leaders and Co-Leaders control over how Thinkers view or interact with Crowdsource activities in a Session.

Crowdsource activities with similar settings include the following:

  • Custom Crowdsource
  • Multi-Step Crowdsource

Note: If you add steps to an activity, you must configure the display and permission settings for each step.

  • Agenda, Minutes, and Notes
  • Brainstorm, Categorize, and Comment
  • Breakout Groups
  • Free Brainstorm (Breadth)
  • Category Brainstorm (Depth)

Note: Any modifications to an activity's settings only affect entries made after the change.

To access a Crowdsource activity's settings:

  1. From the Navigation tab, select the appropriate Crowdsource activity. When selected, it highlights blue.
  2. Click on the settings gear wheel at the bottom of the activity tile (shown below), which opens the Custom Crowdsource Settings dialog.

  1. Show Name Tags allows Leaders to choose whether Thinkers' entries display with a name tag. The name tag appears as the User’s screen name in gray under the created entry on the right. If Show Name Tags is not selected, then the description Anonymous is shown next to the username, and all entries are anonymous.
  2. Show Time Stamps allows Leaders to choose whether each entry displays with a creation date/time stamp. The Time Stamp appears as the date and time in light gray under and on the right of the Category, Idea, or Comment.

Note: If you add steps to an activity, you must configure display and permission settings for each step.

  1. Inherit Permissions, when checked, retains permissions that were set by the global, Session Settings. The level of permissions inherited is displayed below by the permission slider.The default setting for Brainstorm is Creator.
  1. Permissions Slider displays the level of permissions that Thinkers have for this activity.
  2. Permission Matrix displays the permission levels for portions of the activity.

Note: If you add steps to an activity, you must configure display and permission settings for each step.

Permission Levels

Setting the Permission level defines what Thinkers are allowed to complete in the Crowdsource activity, such as view, add, edit, and reorder contributions.


Reviewers can view categories, ideas, comments, and documents, but they cannot add, edit, reorder, organize, or delete any of these.


Creators can view and add categories, ideas, comments, and documents. Each Thinker can edit or make changes to his/her own contributions. Creators cannot reorder contributions (move them within the same level), but Creators can organize contributions by moving them into other levels of categorization. Creators can only delete their own contributions.


Editors can view, add, and edit categories, ideas, comments and documents. They can reorder and organize all contributions. Editors can only delete entries that they have made. They cannot delete other Thinkers' contributions, but they can edit contributions made by others.


Co-Leaders have full permissions. They can view, add, edit, and delete any contributions made by any users.


Custom permissions allow you to assign specific permissions that do not already exist in the other permission levels. The default level of permissions for Custom is 'All' or 'Yes'. Click on the drop-down arrows to change permissions.

Limits are in place to prevent activities from becoming too complex and degrading the performance of a Session.

  1. Maximum Contributions in this Activity limits the number of entries: Categories, Ideas, and Comments, that all users can make in the entire Activity. The default is 1,000.
  2. Maximum level of indentation sets the number of levels that you can indent an item to make it a sub-item under another one. The default is 3 levels below the main level item.
  3. Maximum QUESTIONS per Activity limits the number of questions that can be entered for this activity. The default limit is 300.
  4. Maximum RESPONSES per QUESTIONS limits the number of responses that users can add to each question. The default limit is 300.
  5. Maximum COMMENTS per RESPONSES limits the number of comments that users may add to each response. The default limit is 300.

Note: If you add steps to Multi-Step Crowdsource activities, limits assigned to the activity are inherited by all steps within the activity. Also, depending on the Crowdsource activity and the title of each column in the activity, items 4-6 above may contain different criteria, such as Maximum Categories per Activity, Maximum Ideas per Category, and Maximum Comments per Idea.
